We’re hiring a Freelance Tour and Marketing Administrator

Pif-Paf is a leading outdoor arts company creating top quality cross art-form work for festivals and events with leading partners around the UK. Based in Sheffield we are always developing a number of projects around physical, object and circus theatre. Full information is available at www.pif-paf.co.uk. The company consists of two Directors and a team of freelancers.

We are looking for an experienced and able Tour and Marketing Administrator to cover maternity leave for, and potentially develop, an existing busy role.
The post would suit a capable, methodical and responsible person happy to work independently spreading the hours over the week. They will deal with the nuts and bolts of marketing and tour booking and bring something unique to this small fast moving company.

The post is maternity cover from early March to end Nov 19.
Responsible to: co- AD Pete Gunson
Fee – £15/hr Hours of work – 12 hrs per week Probation – 6 weeks
Following probation notice for both parties 8 weeks

Be point of contact for a wide range of partners – primarily potential and actual bookers and our freelance artists
Maximise opportunities to promote and develop the company’s activity
Conduct research and any other reasonable duties as requested by the Directors

Sell the company’s year round touring work by liaising with programmers by phone and email following up on all leads as appropriate.
weekly social media content (FB, Instagram and Twitter), website updates and management and quarterly mailchimp newsletter marketing, inc. inviting partners to see our work.
Ensure digital marketing material is up-to-date in partnership with Directors
Maintain knowledge of and database of programmers and opportunities.

Be sole communication with bookers for the tour from initial contact to post show including providing complex quotes
Manage all logistics and contracts for venues/events and performers. Getting performers and vehicles from around the country to the right place and time.
Manage company and performer calendars, insurance and technical and other logistical issues related to bookings.
Book accommodation for the company and hire vans for touring when necessary
Gather, collate and manage evaluation and press

• Experience of Arts Management and an understanding of the realities of working in a very small company
• Excellent written and verbal communication skills and manner and very thorough attention to detail
• Ability to prioritise successfully and manage own workload and hours worked in the short and long term
• Good IT skills, including spreadsheets and docs, Gmail, Dropbox, MailChimp and WordPress
• Flexibility and ability to use own initiative
Experience of innovation in managing social networking profiles
own office facilities

Experience of tour booking
Knowledge of UK and international Outdoor Arts
